Yeti ConvAI Terms of Use, Privacy Policy, and Data Deletion Policy

1. TERMS OF USE (Yeti ConvAI)

1.1 Overview
Yeti ConvAI (“Service”) is a conversational artificial intelligence system developed by Lirvana Labs (“Company,” “we,” “our,” or “us”) that enables speech-to-speech and text-to-text interactions for students in learning and assessment environments.

By accessing or using Yeti ConvAI, partner schools, districts, educators, and students (“Users”) agree to these Terms of Use.

1.2 Educational Purpose
Yeti ConvAI is designed solely for educational use, including instruction, practice, and assessment. It is not intended for legal, medical, or financial advice.

1.3 Data Ownership
All student-generated data, including conversation transcripts and derived academic records, are owned by the partner school, district, or charter network (“Partner Organization”), unless otherwise specified in a written agreement.

1.4 Access Control Models (Configurable by Partner)
Partner Organizations may configure role-based access as follows:

Option A: Tiered Access

  • Administrators: Full transcript access
  • Teachers: Dashboard-level access with flagged content visibility

Option B: Class-Based Access

  • Teachers: Access to transcripts within their classes
  • Administrators: Access to all transcripts across the organization

Option C: Restricted Custodian Access

  • Only designated district-level custodians may access transcripts
  • School administrators and teachers do not have transcript access

1.5 Conversation Storage Options (Configurable)

Option A: On-Demand Retrieval (No Storage)

  • Conversations are not stored by Lirvana Labs or the Partner
  • Retrieval requires formal request via designated transcription provider

Option B: Full Transcript Storage

  • Conversations are stored and accessible to authorized users
  • Students are notified that conversations may be reviewed

Option C: Summarized Access Only

  • Only summarized insights are accessible via teacher dashboard tools
  • Full transcripts are not exposed

1.6 Acceptable Use
Users agree not to:

  • Attempt to bypass system safeguards
  • Use the system for non-educational or harmful purposes
  • Input sensitive personal information unless explicitly required

1.7 Moderation & Safety
Yeti ConvAI includes automated moderation systems that classify interactions into:

1. Abuse / Derailment / Out-of-Scope

  • IN-SCOPE
  • OOS-INFO
  • OOS-ACTION
  • POLICY-OVERRIDE

2. Profanity / Harassment

  • MILD
  • TARGETED
  • HATE

3. Student Wellbeing Signals

  • DISTRESS
  • SI-NO-PLAN
  • SI-HIGH

Flagged interactions may be surfaced to authorized educators via Yeti Co-Pilot.

1.8 No Model Training on User Data
Lirvana Labs does not permit third-party model providers (including OpenAI, Anthropic, Google, or others) to train their models on student or educator data generated through Yeti ConvAI.

1.9 No Sale of Personal Information
We do not sell personal information.

1.10 Security
We implement industry-standard encryption and security practices to protect user data.

1.11 Limitation of Liability
Yeti ConvAI is provided “as is.” Lirvana Labs is not liable for indirect or consequential damages arising from use of the Service.


2. PRIVACY POLICY (Yeti ConvAI)

2.1 Information We Collect
Depending on configuration, we may process:

  • Audio inputs and outputs
  • Text conversations
  • Usage metadata
  • Learning progress indicators

2.2 Zero Retention and Zero PII Modes (Configurable)

Option A: Zero Retention Mode (ZRM)

  • No recordings stored
  • No transcripts retained
  • Data processed only in volatile memory

Option B: Zero PII Mode (ZPM)

  • Personally identifiable information (PII) is removed prior to storage
  • Non-PII data may be stored and is owned by the Partner Organization

Definition of PII
Includes but is not limited to:

  • Names, addresses, emails, phone numbers
  • Government-issued identifiers
  • Financial information
  • Voiceprints or biometric identifiers

2.3 How We Use Information

  • Deliver conversational AI functionality
  • Provide learning analytics
  • Enable teacher dashboards and insights
  • Ensure safety and moderation

2.4 Data Sharing
We do not sell data. We may share data with subprocessors solely to provide the Service under strict contractual protections.

2.5 Data Security
We use encryption in transit and at rest, access controls, and monitoring systems.

2.6 Children’s Privacy
Yeti ConvAI is designed for educational use under school supervision and complies with applicable student data protection laws (e.g., FERPA, COPPA where applicable).

2.7 Data Retention
Retention depends on Partner-selected configuration:

  • ZRM: No retention
  • ZPM: Only non-PII retained
  • Custom Mode: Data retained per explicit additional agreement

2.8 User Rights
Partner Organizations control access, correction, and deletion of student data.


3. DATA DELETION POLICY (Yeti ConvAI)

3.1 Overview
This policy outlines how Partner Organizations may request deletion of data.

3.2 Deletion Requests
Requests must be submitted by authorized representatives via:

Upon verified request, we will:

  • Delete stored transcripts (if applicable)
  • Delete associated metadata
  • Remove identifiers linked to users

3.4 Mode-Based Behavior

Zero Retention Mode

  • No deletion required (data is not stored)

Zero PII Mode

  • Stored data excludes PII
  • Remaining data can be deleted upon request

Custom Mode

  • Customized data deletion available upon request

3.5 Processing Time
Deletion requests are processed within a commercially reasonable timeframe (typically within 30 days unless otherwise required by law).

3.6 Third-Party Systems
Where data is processed by subprocessors (e.g., transcription providers), we will coordinate deletion requests consistent with contractual obligations.

3.7 Verification
We may require verification of authority before processing deletion requests.
